Terms of Service

Last updated: 21 September 2026

These Terms explain how customers may access and use TradePilot. They are written in plain English for UK tradespeople and small businesses.

1. Introduction

These Terms of Service govern access to and use of TradePilot, a business management platform for tradespeople. TradePilot is provided by Christian Ogwuru, trading as TradePilot (a UK sole trader).

In these Terms:

  • “TradePilot” means the product, website and app made available under the TradePilot name.
  • “we”, “us” and “our” mean Christian Ogwuru, trading as TradePilot (a UK sole trader).
  • “you” and “your” mean the person or business using TradePilot.
  • “Customer” means a person or business that creates an account or subscribes to the Service.
  • “Service” means TradePilot and the features, tools, software and support we provide through it.
  • “Account” means your registered TradePilot account.
  • “Subscription” means a paid recurring plan for the Service.
  • “Trial” means a free trial period offered before a paid Subscription begins.

By creating an Account or using the Service, you agree to these Terms.

2. Eligibility and business use

TradePilot is primarily intended for tradespeople, sole traders, contractors and small businesses. You may use TradePilot for your own business or on behalf of a business you are authorised to represent.

You are responsible for making sure the information you provide is accurate and that you have authority to enter into these Terms on behalf of the relevant business, where applicable.

3. Your Account

You must provide accurate registration information and keep it up to date.

  • You are responsible for keeping your login details confidential.
  • You are responsible for activity carried out through your Account, subject to applicable law.
  • You should use a strong password and keep access to your email account secure.
  • You should tell us promptly if you suspect unauthorised access to your Account.

4. What TradePilot provides

TradePilot is an AI-assisted business management platform for tradespeople. Depending on your plan and the functionality available at the time, the Service may include:

  • business dashboard and business insights;
  • quotes, invoices and customer records;
  • job management, calendar and scheduling tools;
  • payment links and payment status tracking;
  • reminders, follow-ups and review requests;
  • business analytics and AI-assisted recommendations;
  • Gmail integration, where available and authorised by you;
  • other functionality introduced, updated or improved from time to time.

TradePilot is a business management tool. It does not replace your judgement, professional skill or responsibility for your own customers, pricing, work, records, communications or legal obligations.

We may improve, update or change individual features over time. We do not promise that every feature will always be available in exactly the same form, or that AI outputs will always be accurate.

5. AI features

TradePilot may use artificial intelligence to help draft replies, follow-ups, quotes, invoice messages, reminders, summaries, insights or recommendations.

AI-generated information may contain errors, omissions or wording that is not right for a particular customer or job. You must review important information before relying on it or sending it to anyone else.

We do not guarantee that AI-generated content is complete, accurate or suitable for a particular purpose. You remain responsible for quotes, invoices, customer communications, scheduling decisions, financial decisions and other business decisions made using the Service.

6. Gmail integration

TradePilot currently supports Gmail integration where available. Connecting Gmail is optional, and you choose whether to authorise it.

TradePilot only accesses information and permissions required for the functionality provided, such as syncing relevant customer enquiries and sending messages you approve. You may disconnect the integration where supported.

You remain responsible for complying with your own obligations regarding emails, customer communications and personal data.

7. Customer Data

You retain ownership and control of the business information and content you enter into TradePilot, subject to the rights we need to provide and operate the Service.

Customer Data may include:

  • Account information;
  • business profile information;
  • customer and contact information;
  • quotes, invoices, appointments, messages, notes and job information;
  • uploaded, generated or connected information where applicable.

We may process Customer Data as necessary to provide, maintain, secure and improve the Service, subject to our Privacy Policy and applicable data protection law.

8. Data protection

We will handle personal data in accordance with applicable UK data protection legislation, including the UK GDPR and the Data Protection Act 2018 where they apply.

Our Privacy Policy explains what personal data we collect, how we use it, who we share it with, and the rights people have over their data.

In some circumstances, TradePilot may act as a processor for customer business data. If a separate Data Processing Agreement is required, it should be added or agreed separately.

9. Subscription and pricing

The intended standard price for TradePilot Pro is £49 plus VAT per month, where VAT is applicable. VAT is not stated as included in that price.

Subscription payments are due at the start of each paid billing period through the payment provider shown during checkout. Subscriptions may continue on a recurring monthly basis unless cancelled.

You can manage billing and cancellation through the billing area in your Account. If you cancel a paid Subscription, your access continues until the end of the paid billing period shown in your Account, unless your Account is suspended or terminated earlier under these Terms.

These Terms do not create a minimum contract term or cancellation fee. Refund treatment is not currently defined in the product and should be confirmed before publication.

10. 30-day free trial

TradePilot currently offers a 30-day free Trial unless otherwise stated. You may use the Service during the Trial subject to these Terms.

When the 30-day Trial ends, the card on file is charged automatically for the TradePilot Subscription at £49 plus VAT per month, unless you cancel before the Trial ends.

11. Payment processing

TradePilot may provide payment links or payment functionality through third-party payment providers. Where applicable, customer payments may be processed by third-party payment providers such as Stripe.

TradePilot does not take ownership of customer funds where the payment provider processes those payments directly. Your relationship with the payment provider may also be subject to that provider’s terms, fees and privacy policy.

We are not responsible for failures caused by third-party payment providers except where required by law.

12. Acceptable use

You must not:

  • use TradePilot unlawfully or for fraudulent purposes;
  • attempt to gain unauthorised access to the Service, other accounts or connected systems;
  • interfere with, overload, disrupt or damage the Service;
  • introduce viruses, malware or other malicious code;
  • abuse, bypass or misuse integrations;
  • reverse engineer the Service except where applicable law permits;
  • use the Service to infringe another person’s rights;
  • use the Service to send unlawful, misleading or harmful communications.

13. Intellectual property

TradePilot and its underlying software, branding, interface, design, technology, templates and materials remain owned by TradePilot or its licensors.

During your Trial or Subscription, you receive a limited, non-exclusive, non-transferable right to use the Service in accordance with these Terms. You retain rights in your own content and business data.

14. Third-party services

TradePilot may integrate with third-party services such as Gmail, Stripe, hosting and infrastructure providers, and other integrations introduced later.

Third-party services may have their own terms, privacy policies and technical requirements. We do not control those services and cannot guarantee that they will always be available or unchanged.

15. Availability and changes to the Service

We aim to keep TradePilot available and reliable, but we cannot guarantee uninterrupted availability. The Service may occasionally be unavailable because of maintenance, updates, technical failures, third-party outages, security incidents or events outside our reasonable control.

We may improve, modify or add features over time. If we make a material change that significantly reduces the core Service you receive, we will give reasonable notice where appropriate.

16. Suspension and termination

We may suspend or terminate access where reasonably necessary, including for serious breach of these Terms, fraudulent or unlawful activity, security threats, non-payment, misuse of the Service, or where required by law.

Where appropriate, we will provide reasonable notice or an opportunity to remedy the issue. This may not be possible for urgent security, legal or fraud-related reasons.

After termination, your access to the Account and Service may end. Customer Data is retained for 90 days after cancellation and is then permanently deleted.

17. Customer responsibilities

You are responsible for:

  • the accuracy of information you enter into TradePilot;
  • your own business decisions and professional work;
  • reviewing quotes, invoices, reminders and messages before sending or relying on them;
  • maintaining appropriate backups where necessary;
  • ensuring you have appropriate rights and permissions to use customer information;
  • complying with laws and rules that apply to your business.

18. Disclaimers

TradePilot is a business management tool. We do not guarantee increased profits, more customers, faster payment, business growth, specific financial results, error-free AI outputs or continuous availability.

Your results depend on your business, customers, pricing, work, market conditions and how you use the Service. Nothing in these Terms limits statutory rights or any rights that cannot lawfully be excluded.

19. Limitation of liability

Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot legally be excluded or limited.

Subject to that, TradePilot’s total liability to you arising out of or in connection with these Terms or the Service is limited to the total Subscription fees you paid to TradePilot during the 12 months before the event giving rise to the claim.

The Terms should also be reviewed to decide how they treat direct losses, indirect or consequential losses, loss of profits, loss of business and loss of data.

20. Indemnity

You agree to indemnify TradePilot against claims, losses and costs (including reasonable legal costs) arising from your breach of these Terms or your unlawful use of the Service.

21. Complaints and support

For support, complaints or questions about the Service, contact TradePilot at tradepilot101@gmail.com.

We will aim to respond in a reasonable time. No specific support response time or service level is promised unless separately agreed in writing.

22. Changes to these Terms

We may update these Terms when reasonably necessary, for example because the Service changes, the law changes, or we need to make the wording clearer.

For material changes, we will give reasonable notice where appropriate and clearly communicate the updated effective date. Changes will not retroactively remove rights you have already acquired.

23. Governing law and jurisdiction

These Terms, and any dispute or claim arising out of or in connection with them, are governed by and construed in accordance with the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction.

24. Entire agreement, severability, waiver, assignment and no partnership

These Terms, together with any terms shown during signup or checkout, form the agreement between you and TradePilot for use of the Service.

If part of these Terms is found to be invalid or unenforceable, the rest will continue to apply. If we do not enforce a right immediately, that does not mean we give it up.

You may not assign or transfer your rights under these Terms without our consent, except where applicable law gives you that right. We may assign our rights as part of a business transfer, provided this does not materially reduce your rights. Nothing in these Terms creates a partnership, joint venture, employment or agency relationship between you and TradePilot.
